From a request to a complete quote
A useful quote answers more than “how much?” It explains what is included, what is available, what information is missing and what the customer should do next.
- Collect the details that affect the price. Dates, quantities, duration, location, scope and extras. Requests can start on your website or in the channels included in your setup.
- Use your approved information. Rates, minimums, availability and exclusions determine what can be offered. We confirm the information sources and any integration work before implementation.
- Prepare the answer and documents. Configure the reply, quote and any invoice or follow-up required by the agreed workflow.
- Apply your review rules. A standard request can follow an approved automatic path. Missing details or exceptions go back for clarification or a person’s decision.

A commercial quote that changes with the customer’s request

“We need two compact excavators for three days, delivered and collected at our site. Include six ground-protection mats.”
The configured rules charge each machine at $350 per day and each mat at $15 per day. Delivery and collection together cost $300 within the approved zone. The illustration applies 5% tax to every line. Fuel, damage and refundable security holds are outside this total and must be explained separately.

Before sending, the workflow needs the dates, site address, stock availability and suitable access. An address outside the priced zone needs a transport review. The original request is not an inventory reservation or accepted contract.
The customer asks for a revision
“Make it three machines and eight mats for four days. Can you keep us under $5,500 including tax?”

The revised draft is $271 below the requested cap. It still needs a fresh availability check and confirmation that one delivery can carry the revised load. If either condition fails, a person reviews the plan before it is offered.
A complete response
“The revised draft is CAD $5,229 including the illustrative tax, which is $271 within your budget. It includes three machines and eight mats for four days, plus delivery and collection within the quoted zone. We still need to confirm the additional machine and transport capacity for your dates. No extra equipment is reserved until we confirm those checks and you accept the revised offer.”
The setup should preserve the original version, identify the current revision and ask for acceptance before applying a change that needs approval. An invoice or payment change follows only when the agreed process allows it. Explore more industry examples.
Which businesses are a good fit?
This is useful when requests repeat but assembling the answer still takes staff time: venues combining packages and headcounts, rentals priced by item and duration, tours with group rates, or services with defined packages and add-ons.

Follow-up follows the state of the quote
A reminder is useful only while the quote is current. A customer reply, requested revision, acceptance, decline or expiry should stop or change the sequence. We define who owns the next action and what requires approval during setup.
