From an urgent email to a reviewed change and complete answer

1. Organize the conversation
Match the message to the existing customer and quote, then mark the next-day timing for attention under the business’s priority rules. An uncertain customer match or conflicting instruction goes to a person. Email, SMS, voice and website requests can feed the agreed inbox workflow; the connected channels are defined in the implementation scope.
2. Check the information behind the answer
The original scope covers six workstations at $95 each, a $240 network check and an $85 visit fee. Adding two workstations changes the draft as follows. The illustration applies 5% tax to all lines.

The difference is $199.50. The price calculation does not establish that a technician can finish before noon. That requires a scheduling decision.
3. Prepare one answer and the matching document
“Adding the two workstations increases the draft by CAD $199.50 including the illustrative tax, bringing the revised quote to $1,139.25. The network check remains included. Please confirm whether the extra workstations are at the same address and ready for access. Our scheduling lead needs to approve the earlier finish before we can confirm it. We will send the final revision once those details are resolved.”
4. Assign the next action
Ask the customer for the missing access details and route the timing question to the scheduling lead. Keep the current accepted scope unchanged while approval is pending. After the required confirmations, issue the approved quote revision and ask for acceptance. Create or update an invoice only at the authorized stage, accounting for recorded payments.

We define the rules by request type. A routine question may be answered automatically; a price exception or cancellation may need review. New or uncertain requests need a clear handoff.
